Rules of the contest for naming the goose – mascot of the World Athletics Indoor Championships Kujawy Pomorze 26.
§ 1 General provisions
1. These regulations (hereinafter referred to as the Regulations) define the rules of the contest for naming the goose, the mascot of the World Athletics Indoor Championships Kujawy Pomorze 26.
2. The organiser of the contest and the administrator of participants’ personal data is the Kujawsko-Pomorski Związek Lekkiej Atletyki, ul. Gdańska 163,
85-613 Bydgoszcz (hereinafter referred to as the Organiser), which serves as the operator of the Championships.
3. The purpose of the Contest is to promote the Kujawy Pomorze Region, strengthen its image as the host of the World Indoor Championships, and engage the local community and athletics fans while promoting sport and a healthy lifestyle.
4. The Contest is open to all sports and athletics enthusiasts. Any person may participate, regardless of age.
5. For underage participants, parental or legal guardian consent is required. This consent must be confirmed by providing the parent’s/guardian’s contact details together with the submission. The Organiser may contact the parent/guardian to verify this consent.
6. The Contest runs from 16 October 2025, to 31 October 2025, at 11:59 p.m.
§ 2 Contest procedure
1. To participate, contestants must propose a name for the goose – the mascot of the World Athletics Indoor Championships Kujawy Pomorze 26. The goose was chosen due to its symbolic significance for the region, its traditions, and its character.
2. Each participant may submit one name. The proposed name should relate to the Kujawy-Pomorze Region, sports, or values promoted by the Championships to help the Jury ensure conceptual consistency.
3. Entries must be submitted electronically by 31 October 2025, at 11:59 p.m. to the following email address: maskotka@kujawypomorze26.pl. Entries received after this deadline will not be considered.
4. If two or more participants submit the same name, the first submission received will be considered.
5. Each submission must include the participant’s first name, last name, email address, and phone number. For underage participants, the name and contact details of a parent or guardian must also be provided. The Organiser may verify parental/guardian consent.
6. Contest announcements and updates will be published on the official website and social media channels of the Championships. Only the names, surnames, and photos of the winners will be published. Refusal to consent to data publication does not affect prize eligibility.
7. Any inquiries should be directed to the email address listed in point 3.
8. Sending a proposal to the above address constitutes acceptance of these Regulations.
§ 3 Results of the contest and prizes
1. The Organiser will appoint a Contest Jury.
2. All submitted proposals will be evaluated by the Jury.
3. The Jury will select four names deemed most suitable for the mascot, assessing submissions based on originality, creativity, relevance, and inventiveness.
4. Four participants whose proposals are selected will become finalists.
5. The four chosen names will be presented to athletics fans in a post published on the official World Athletics Indoor Championships Kujawy Pomorze 26 Facebook profile (@wickujawypomorze26) on 12 November 2025, at noon.
6. The final mascot name will be determined based on a combined score: 50% from the Jury and 50% from fan votes cast on www.maskotka.kujawypomorze26.pl between 12 November 2025 (at noon) and 19 November 2025 (11:59 p.m.).
The Organiser reserves the right to invalidate votes cast dishonestly or in violation of these Regulations. The final result, combining Jury and fan scores, will be determined by 19 November 2025, at 11:59 p.m. The name with the highest total score will be selected, and its author (or the parent/guardian in the case of a minor) will be declared the winner.
7. The main prize for the winner is two tickets to a selected session of the World Indoor Championships and official event merchandise.
8. The other three finalists will receive Championship merchandise.
9. Prizes will be awarded in compliance with applicable legal and tax regulations. The prizes are non-cash. The total value of prizes does not exceed PLN 2,000 and is therefore exempt from income tax under Article 21(1)(68) of the Polish Personal Income Tax Act.
10. Information about the winners will be published on the Organiser’s website and social media channels on 24 November 2025, at 5:00 p.m., in compliance with personal data protection laws. The Organiser will contact winners by email or phone to:
a) confirm delivery details;
b) obtain voluntary consent for the publication of name, surname, and photo;
c) obtain voluntary consent for data processing for marketing purposes;
d) optionally request a short slogan or comment related to the proposed name.
11. For underage winners, all additional consents must be provided by the parent or legal guardian.
12. Prizes will be sent by post, and tickets by email within 14 days of confirming the winner’s details. The Organiser is not responsible for non-delivery due to incorrect information provided by the participant.
§ 4 Complaints
1. Any complaints related to the Contest must be submitted in writing with justification to the Organiser’s address, marked “Name the Goose Champion of the Championships”, within 7 days of the Contest’s conclusion (the postmark date determines the submission date).
2. Complaints submitted after this period will not be considered.
3. The Organiser will review complaints within 30 days of receipt.
§ 5 Liability
1. The Organiser is not responsible for:
a) technical or other issues beyond its control that prevent proper Contest operation, including force majeure events;
b) interruptions in Contest operation caused by technical reasons or factors beyond the Organiser’s control, including actions or omissions of email or social media service providers;
c) participation inconsistent with these Regulations or any resulting damages.
2. By entering the Contest, participants declare that the submitted name is their own original idea and does not infringe upon the rights of third parties. By submitting a proposal, participants grant the Organiser a free, non-exclusive, and unlimited license to use the submitted name in connection with the organization and promotion of the Championships, including reproduction, publication, and possible trademark registration.
§ 6 Regulations
1. The Organiser reserves the right to amend these Regulations in the event of changes to applicable laws or other valid reasons, particularly if such changes ensure proper and lawful Contest administration.
2. Participation in the Contest constitutes acceptance of these Regulations.
3. These Regulations will be available for inspection at the Organiser’s office and online at www.wickujawypomorze26.com, under the Mascot section.
§ 7 Personal Data Protection
1. The Organiser informs that participants’ personal data will be processed solely for the purpose of conducting the Contest, selecting winners, and awarding prizes. The legal basis for processing data (name, surname, email address, phone number, and for minors – parent/guardian contact details) is Article 6(1)(b) of the GDPR.
2. Submitting an entry to the contest email address constitutes consent to the processing of personal data for this purpose.
3. For underage participants, parental or guardian consent is required. The Organiser may verify the participant’s age and consent, especially when awarding prizes or publishing results.
4. Consents for the publication of personal data (name, surname, photo) and for processing data for marketing purposes are voluntary and granted separately after winners are announced:
a) For underage participants – by the parent or guardian;
b) For adult participants – by the participant personally.
5. Participants have the right to access, correct, and request deletion of their data in accordance with applicable data protection laws.
6. Providing personal data is voluntary; however, failure to do so prevents participation in the Contest. For underage participants, the parent or guardian bears responsibility for the accuracy of the provided data and for granting consent.
7. The data controller is the Kujawsko-Pomorski Związek Lekkiej Atletyki, ul. Gdańska 163, 85-613 Bydgoszcz.
§ 8 Final information
The Contest is not a game of chance as defined by Article 2 of the Polish Gambling Act of November 19, 2009 (Journal of Laws 2018, item 165, as amended).
